What is your Price Structure? How much does the service cost?

 Part of the success and growth of Advantax has been hinged on our clean and simple pricing model. Advantax’s compliance services are provided as a flat annual fee, reliant on a few variables that drive a majority of our proposed cost to our clients: Total number or returns, how the returns breakdown by state, complexity of a standard return and
total number of tax bills to be paid.

How much time will be needed by me and my team during the implementation process?

Not much, at all. You want to outsource, and your time is valuable, so we take care of the heavy lifting. The most that will be asked by you is 30 minutes for an implementation call, then a data pull from your existing files. Advantax will take care of the rest, with a handful of back and forth follow up questions while we complete the setup.

What software do you use for filing personal property tax returns?

Advantax utilizes CSC PTMS®. This software supports the entire property tax life cycle, automating return filing, assessment validation, tax payments, forecasting, accruals, and document management.

What is your approach for ensuring that Client does not pay late fees?

Advantax leverages systems both inside and outside of PTMS across all clients to ensure adherence to the property return and payment calculation. In the event of a penalty that was created based on Advantax’s error, there is limited liability language in our agreement to ensure we provide maximum peace of mind to our outsource clients.

What is your typical process and timeline for knowledge transfer from another vendor? What is the typical time for transition?

Knowledge transfer from vendor to vendor is handled during our implementation process and that process typically takes between 4-6 weeks, not contiguously, but rather throughout that time frame. While we always prefer to have the 4–6-week cushion for implementation, we can be flexible in working with what you and your company have available.

Do you offer audit support for personal property?

Yes, Initial Audit Response, as well as all back and forth with the various assessing offices, is included with our annual service fee. Support beyond issuance of a result (including inspections, appeals, etc.) can be completed under the consulting structure of our agreement

What is your process for managing tax bills?

Advantax will sort, order, scan and enter all tax bills as received into PTMS. Missing tax bill reports (Taxes due, Not Paid) are run weekly to ensure 100% population of tax bills prior to any expected deadlines. These reports indicate where the team will work to research and fully populate the database. All tax bills are entered into PTMS and uploaded to our portal for easy access 24/7.

What additional charges will I receive annually from Advantax?

None! The annual fee will cover just about everything you and your department will need every year! If you need us to do additional out of scope work such as sitting in on your annual HR training, running to Starbucks for your morning coffee, etc – then we can discuss a separate fee structure.

What about surprise invoices?

None! If Advantax intends to commence a project that would result in a fee if successful, we’ll work with your team in advance to make sure everyone is in agreement with proceeding.
